Multi Function Printers

This documentation is geared toward setting up Ricoh and Konica Minolta Multi function printers (large printers that can copy, fax, scan, email, and print)

Configuring MFPs

When a new copier or Multi Function Printer is purchased it must be configured for the network. A ticket must be sent to [email protected] with the following details:

  • Printer Make & Model

  • Printer MAC Address
  • Room #

If replacing an existing printer please also add the following:

  • Existing Printer Name

After the networking has been configured from the printer ensure

  1. Set printer to DHCP (disable BOOTP and Static IP/DNS)

Login to the admin web console by entering printerName.printers.oakland.edu in a web browser.

From the admin web console, login and then browse to the configuration section.

  1. Set NTP Server: ntp.oakland.edu
  2. Set hostname to printer’s DNS name
  3. Set domain name: printers.oakland.edu
  4. Disable DDNS
  5. Disable WINS
  6. Set DNS to be configured via DHCP
  7. Disable these unneeded protocols: RSH, FTP, SFTP, WSD, RHPP. (Enable: LPR, IPP, and Socket / Direct Printing)
  8. Disable IPv6
  9. Disable SMB (as print destination)
  10. Disable SSDP
  11. Disable Bonjour
  12. Disable NetBIOS over TCP/IPv4
  13. Disable Telnet (SSH ok)
  14. Setup a secure Administrator password for the MFP

For details on a specific task see the operators manual for your make and model. You can then optionally setup scan to share or scan to email with the following instructions.

Scan to Email

From the admin web console, login and then browse to the configuration section. Set the following email/smtp settings

  • SMTP Server: lsmtp.oakland.edu (IP address: 141.210.8.11)
  • SMTP Port: 25
  • No authentication, no pin.
  • Set admin or outgoing e-mail to [email protected] (replace printerName with the name of your printer)

Scan to Share

If content being scanned is Confidential (per policy 860; review the policy at: https://wwwp.oakland.edu/policies/information-technology/860/) they (the Department Share Owner or Data Steward) will advise UTS in the ticket prior to using the ‘Scan-to-Share’ feature. UTS will evaluate implementations scanning confidential data on a case by case basis.

A scan to share account and password is required to set up the scan to share feature. One can be requested by submitting a ticket to [email protected] . They can be reused if replacing a MFP.

Create new ‘Address Book’ account. Choose folder destination as the destination type, enter \\shares\shareName\folderName as the path, use the scan to share account username and password as the login credentials

troubleshooting

Ntlmv2 is required to connect to our share servers. Several MFP are setup to use the FQDN of the share server instead of the shares.oakland.edu
