GrizzFiles
GrizzFiles is an online centralized storage option available by request from OU faculty, staff and sponsored students that have specific needs to store and share confidential data. GrizzFiles is intended to provide a secure storage option that provides both at-rest and in-transit encryption. GrizzFiles offers several mechanisms for sharing data which are detailed below. It is up to the user to determine the appropriate sharing mechanism based on the type of data.
Account Request Form
To request an account for GrizzFiles please submit the "GrizzFiles Account Request" form available on the Forms menu.
Login Options
On the log in page for GrizzFiles there are two options:
- Guest log in
Option used for guests that have been sent a guest invite request to create an account in GrizzFiles.
- Oakland SSO
- Option used for Oakland University users.
Multi-Factor Authentication
Both Guest accounts and Oakland SSO accounts require Multi-Factor authentication.
Guest account upon activating their guest account will be asked to setup a Timed-based One-Time Password (TOTP) application. UTS has tested the following TOTP applications for use with GrizzFiles:
- Google Authenticator
- Duo Mobile
- Oakland SSO accounts can utilize Duo Security with the following options:
- Duo Push (Recommended)
- Call Me
- Enter a Passcode
Sharing Options
Public Link Sharing
The simplest option for sharing a file or folder is to use a Share link. Note that anyone that has access to this link can access the file or folder that is shared in this way.
To create a new share link, click the "+" icon in the "Sharing" options next to "Share link". Once a "Share link" is created you can copy the link and paste that into an email. If you have already created a Share link you can copy the link by clicking on the clipboard icon or you can modify some of properties of the link, such as adding a password, expiration date or note to recipient, by clicking on the three dots menu and selecting the specific option. This menu is also where you can "Unshare" the link.
Instead of creating a Share link you can also just type the email address of the recipient into the "Name, email, or Federated Cloud Id ..." box and choose the option with the mail icon on the right and an email will be sent to that address with a link to the file or folder. Using this link sharing method also lists the recipient in the Sharing options so you can identify who you sent the link to.
Sharing to another user
If the user that you wish to share a file or folder with has an account on GrizzFiles you can share with them by typing their name into the "Name, email, or Federated Cloud Id ..." box and then modifying the share options on the three dots menu. Note that an email is generated and sent as soon as you select the user to share with.
File drop
If you want users to provide files to you then you can create a File Drop (upload only) folder. To create an upload link you can select a folder and choose the "File drop (upload only)" option from the three dots menu. you can then copy this link and send it via email or place on a web page to provide a place for users to drop files.
